Firelink Labs LLC ("we", "us", "our") operates Scholar Guide (the "Service"), available as a mobile application and web application. This Privacy Policy explains how we collect, use, disclose, and safeguard your information.
1. Information We Collect
Account Information
When you create an account we collect your email address and, if you use social sign-in, limited profile information provided by Google or Apple (name, email). We do not store your social-provider passwords.
Children's Educational Data
We store the child profiles, activities, attendance records, subjects, work samples, portfolios, transcripts, and other educational content you create within the Service. This data is necessary to provide core functionality and is associated with your account.
Images & Work Samples
Photos and files you upload as work samples are stored in our cloud storage infrastructure. You may delete your files at any time by editing or deleting the associated activity or work sample.
Device & Analytics Data
We use Sentry for error monitoring and crash reporting. This may include device type, operating system, app version, and error stack traces. We do not send personally identifiable information to Sentry.
Push Notification Tokens
If you opt in to push notifications, we store your device push token to deliver notifications such as compliance deadline reminders and daily logging reminders.
2. How We Use Your Information
- To provide, maintain, and improve the Service
- To process AI-powered features including portfolio narratives, lesson plans, progress reports, and activity descriptions
- To validate subscriptions via Apple App Store and Google Play
- To send transactional emails (verification, password reset)
- To deliver push notifications you have opted into
- To monitor errors and improve reliability
3. Third-Party Services
We share limited data with the following third-party providers:
- OpenAI — educational data is sent for AI portfolio narrative generation, lesson plan creation, progress reports, and activity descriptions. OpenAI's API data usage policies apply.
- Resend — your email address is used to send transactional emails.
- Sentry — anonymized error data is sent for crash reporting and monitoring.
- Apple / Google — purchase receipts are validated with Apple App Store and Google Play servers.
4. Data Storage & Security
Your data is stored on servers in the United States. We use encryption in transit (TLS), hashed passwords (bcrypt), and follow security best practices. While no system is 100% secure, we take reasonable measures to protect your information.
5. Data Retention & Deletion
We retain your data for as long as your account is active. You may delete your account at any time through the Settings page in the app. Account deletion permanently removes your profile, children, activities, attendance records, portfolios, transcripts, and all associated data. This action is irreversible.
You may also export your data at any time using the CSV/Excel export feature before deleting your account.
6. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Withdraw consent for optional processing

7. Children's Privacy
Scholar Guide is designed for use by parents and guardians to track their children's homeschool education. The Service is not intended to be used directly by children under 13. Parents and guardians who create child profiles do so to manage educational records. We do not knowingly collect personal information directly from children under 13.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy within the app and updating the effective date above.
